You are currently viewing How to Choose a Cold Room Company in Saudi Arabia

The right cold room company asks about your products, daily stock movement and site before talking about price. The wrong one sends a quote per square metre within the hour. This guide gives you eight checks for comparing contractors in Saudi Arabia, a list of what a proper quotation contains and the questions to ask before you sign.

Why the contractor matters more than the equipment brand

Two cold rooms built with the same panels and the same compressor brand often perform differently. The difference comes from the heat load calculation, the installation quality and the support after handover. A room designed without a calculation runs its compressor almost nonstop in August, struggles to hold temperature when the door opens during service and fails early. You pay for those mistakes every month in electricity and spoiled stock.

8 checks before you choose a cold room company

1. They ask the right questions first

A serious contractor starts with your operation. Expect questions like these:

  • Which products will you store and at what temperature?
  • How many kilograms enter the room per day and at what temperature do they arrive?
  • How often does the door open during a shift?
  • Where will the room sit: inside an air-conditioned kitchen, in a warehouse or outdoors?
  • Do you plan to add capacity within two or three years?

If nobody asks, nobody is calculating. Treat a quote based on floor area alone as a warning sign.

2. They show you a heat load calculation

Refrigeration capacity comes from a calculation. A competent company shares the summary with you. The calculation adds up four sources: heat entering through walls, ceiling and floor, heat from the products you load, warm air entering through the door and heat from lights, fans, people and defrost. Ask for three numbers: the design room temperature, the design outdoor temperature and the planned compressor running hours per day. These numbers show whether the system has reserve capacity or runs at its limit.

3. They design for Saudi summer conditions

Outdoor temperatures in Riyadh and most of the Kingdom reach the mid-40s °C in summer. Rooftops and sun-facing walls get hotter still. Standard catalogue ratings often assume outdoor air at 32 °C or 35 °C. Ask which ambient temperature the condensing unit is selected for and where the unit will stand. A unit placed in a closed shaft or under direct afternoon sun loses capacity exactly when demand peaks. For coastal cities such as Jeddah and Dammam, ask about corrosion protection for the condenser coils as well.

4. They are open about components

Ask for a written specification, line by line:

  • Insulated panels: core material (PIR or PUR), thickness and density. Chilled rooms typically use 80 to 100 mm panels. Freezer rooms typically use 120 to 150 mm.
  • Compressor and condensing unit: brand, model and refrigerant.
  • Evaporator: brand, model, fin spacing and defrost type.
  • Door: hinged or sliding, clear opening size and a frame heater for freezer doors.
  • Controls: digital controller, high temperature alarm and temperature recording for food businesses.
  • Floor: insulated floor for freezer rooms and a finish suited to your trolleys or pallet trucks.

A quote reading “cold room 3 x 4 m with cooling unit” hides every one of these details. Two offers written this way give you nothing to compare.

5. Their own team installs and commissions the room

Installation quality decides how long the room lasts. Ask who installs: technicians employed by the company or a subcontractor hired per job. Then ask what happens at handover. Proper commissioning includes a leak test and vacuum of the refrigerant circuit, a pull-down test to the set temperature, a check of defrost and alarm settings and a short training session for your staff. Ask for the commissioning record in writing.

6. They offer maintenance and keep spare parts

Every cold room stops one day. What counts is how fast a technician arrives. Ask about response time in your city, spare parts availability for the brands used and the price of a preventive maintenance contract. A company with no service plan sells you a room and leaves you alone at the first breakdown. Our guide to cold room maintenance lists what a regular visit covers.

7. They show projects similar to yours

Ask for photos and references from projects close to yours in size and sector. A restaurant walk-in, a supermarket back room and a 2,000 pallet warehouse are three different jobs. For a large facility, ask to visit a running site. See examples of Cooliva projects.

8. Their paperwork is in order

Check the basics before you pay a deposit: a valid commercial registration, VAT registration with ZATCA-compliant e-invoices, a written warranty stating what is covered and for how long and a payment schedule tied to delivery milestones. For food businesses, ask how the design supports inspections, for example a visible temperature display and temperature records, which inspectors commonly ask for.

What a complete quotation includes

ItemWhat to look for
Room size and temperatureInternal dimensions and design temperature
PanelsType, thickness, density and whether the floor is included
Refrigeration unitBrand, model, capacity at the stated ambient temperature and refrigerant
EvaporatorBrand, model and defrost type
DoorType, size, heater and strip curtain
ElectricalControl panel, cable distance and the power supply you need to provide
InstallationTransport, lifting, civil works and drain line
CommissioningTests and handover documents
Warranty and servicePeriod, coverage and response time
ExclusionsEverything you must provide yourself

Line items let you compare offers fairly. The cheapest total often leaves out the floor, the electrical supply or the transport. For the cost side, read what determines cold room cost in Saudi Arabia.

Red flags

  • A price per square metre with no questions about your products.
  • No brand names or model numbers in the offer.
  • A much smaller condensing unit than other bidders propose for the same room.
  • No written warranty.
  • Full payment requested before delivery.
  • No service team in your region.

Lowest price or lowest cost of ownership?

The purchase price is one part of what a cold room costs you. Electricity, maintenance, product losses during breakdowns and compressor life make up the rest. A room with thicker panels, a correctly sized unit and a door with a tight seal uses less energy every day for years. When two offers differ by 15 percent, compare the specifications before the totals.

Frequently asked questions

How many quotations should I compare?

Three is a practical number. Give each company the same brief: products, quantities, temperature, room location and dimensions. Identical input makes the offers comparable.

How long does a cold room project take?

The timeline depends on size, panel and equipment availability and site readiness. Ask each bidder for a schedule with separate dates for design approval, delivery, installation and commissioning.

Should I choose a company close to my site?

Location matters for service. A contractor based in Riyadh reaches a Riyadh restaurant quickly when a compressor trips at night. For sites in other regions, ask how service calls are handled there. See our notes on cold rooms in Riyadh.

Is a cold room company the same as an air conditioning contractor?

No. Cold rooms and freezer rooms run at far lower temperatures and need different compressors, evaporators, defrost systems and insulated construction. Choose a company whose main business is commercial refrigeration.

What do I prepare before I request a quote?

Prepare the site location, the available space with ceiling height, product types, daily quantity, target temperature and your power supply. A photo or sketch of the space speeds things up.
